The challenge
Northgate Dental runs four chairs across three dentists and a hygienist, and the front desk was juggling a paper day sheet alongside their scheduling software's calendar view just to know who'd checked in versus who was still in the waiting room. No-shows and late cancellations weren't tracked consistently, so nobody had a real number for them, and chair utilization was a guess rather than something anyone could see.
Patient history, insurance, balance, and clinical alerts lived in a separate records system the front desk had to tab out to for every phone call and every check-in.
The approach
We built one front-desk screen: the day's schedule with real check-in, seat-in-chair, and complete states, a live waiting room queue, and chair utilization per provider, plus a patient record pulled up instantly with visit history, balance, and clinical alerts, and a week-view calendar for booking ahead without leaving the same tool.
- Live schedule with one-click check-in, seat-in-chair, and complete states per appointment
- Waiting room queue showing exactly who's checked in and how long they've waited
- Chair utilization per provider, visible at a glance instead of estimated
- Patient record pulled up instantly with visit history, balance, and clinical alerts
- Week-view calendar for booking ahead without leaving the same tool
The result
The front desk now runs the whole day, check-in through checkout, from one screen instead of three. No-shows get flagged and followed up on the same day instead of falling through, and chair utilization is a real number the practice can act on instead of a guess.
